Exhibition Registrar

Contract type: CDI – Full time

Founded in 2006, in a building designed by the internationally renowned architect Ieoh Minh Pei, Mudam is the museum of contemporary art of Luxembourg. Our mission is to collect, conserve, and present the most relevant contemporary art of our time, and make it accessible to a wide audience. We strive to be a leading player in the promotion and understanding of contemporary art by way of our exhibitions, publications, and artistic and educational public programmes.

Located in Europe, in the heart of a cosmopolitan country comprising no less than 179 nationalities, we wish to address all of these communities and to prioritise their access to contemporary art. It is important to us for the museum to be a living and discursive space where questions concerning our contemporary society may be tackled and debated. Working within the department of Artistic Programmes and Content, the registrar plays a key role in the production of exhibitions. They work in close collaboration with the other members of the Operations team, as well as with the curators, technicians, and building manager.

Your Role:

As registrar, your responsibilities are as follows:

Coordination and management of artwork loans between museums, galleries, private collectors, and artists

  • Generating loan agreements
  • Management of insurances or condition guarantees
  • Management and coordination of artwork production
  • Overseeing the contractual specifications related to the loan of artworks
  • Management and coordination of transportation (quotes, planning, customs procedures, etc.)
  • Generating condition reports for the artworks and digital archive
  • Archiving data related to the exhibition

Installation/Deinstallation of Artworks

Planning:

  • Assessment of technical interventions according to each space
  • Organisation of transportation: arrivals and departures of the works
  • Inventory and restocking of technical material needs

Installation:

  • Coordination of the arrival of artworks on site or in customs:
  • Reception of artworks
  • Unloading works according to required procedures
  • Creation of condition reports (written/photos)
  • Coordination and reception of couriers
  • Drafting technical guides for daily management
  • Coordination and management of crate storage for exhibited artworks

Monitoring & Maintenance:

  • Creation of technical manuals
  • Surveillance of environmental conditions
  • Preservation of technical and maintenance instructions for artworks
  • Monitoring the condition and conservation of artworks

Deinstallation:

  • Reception of crates for return shipments
  • Deinstallation of artworks according to established timeline
  • Creation of outgoing condition reports (written/photos)
  • Packaging artworks according to designated prevention and safety guidelines

Your Qualifications

We are seeking an open and enthusiastic individual with excellent organisational skills. As a candidate, you should recognise yourself in this description and match the following qualifications:

  • Minimum 3 years experience in a similar position in an institution
  • Ability to work independently and a proven track record in areas related to exhibition management
  • Knowledge of contemporary art and the international artistic network
  • Strong writing skills
  • Fluency in French and English is required. Knowledge of German and Luxembourgish is a plus
  • Proclivity for teamwork
  • Proficiency with computers
  • A strong and meticulous attention to detail; availability and participation
  • Scheduling flexibility: your presence may occasionally be required in the evenings or weekends
  • Driver’s licence
